Job Summary:
We are seeking an experienced Mid-Level Travel Coordinator to manage and optimize travel logistics for corporate clients, high-end leisure travelers, and group bookings. The ideal candidate has 3-7 years of experience in travel management, itinerary planning, and vendor coordination. This role requires strong expertise in global travel planning, cost optimization, and client relationship management, ensuring smooth and efficient travel experiences.
The Mid-Level Travel Coordinator will work closely with vendors, corporate clients, airlines, hotels, and internal stakeholders to provide the best travel solutions while ensuring compliance with travel policies, cost-effectiveness, and exceptional customer service.
Key Responsibilities:
1. Travel Planning & Booking Management
- Arrange and coordinate international and domestic flights, hotels, car rentals, and ground transportation.
- Customize travel itineraries for corporate clients, VIP travelers, and special group requests.
- Handle last-minute changes, cancellations, and emergency travel adjustments efficiently.
2. Corporate & VIP Travel Coordination
- Assist executives, business travelers, and high-profile clients with seamless travel arrangements.
- Ensure adherence to corporate travel policies, budget constraints, and security guidelines.
- Provide concierge-level services such as luxury travel arrangements and exclusive bookings.
3. Vendor & Supplier Negotiations
- Develop and maintain relationships with airlines, hotels, tour operators, and travel agencies.
- Negotiate exclusive deals, discounts, and partnerships to optimize travel costs.
- Ensure service quality, reliability, and compliance with travel agreements.
4. Expense & Budget Management
- Monitor travel budgets, expense tracking, and reimbursements for corporate accounts.
- Provide cost-saving strategies while maintaining premium service levels.
- Prepare detailed travel expense reports, invoices, and financial statements.
5. Compliance & Risk Management
- Ensure all travel bookings align with corporate travel policies and government regulations.
- Stay updated on visa policies, COVID-19 travel restrictions, and global entry requirements.
- Implement crisis management protocols for travelers facing disruptions or emergencies.
6. Client Relations & Customer Service
- Serve as a primary point of contact for travel-related inquiries and support.
- Provide destination recommendations, travel advisories, and tourism insights.
- Handle escalations, disputes, and service recovery efforts professionally.
7. Travel Technology & Systems Optimization
- Use Global Distribution Systems (GDS) like Amadeus, Sabre, Galileo for bookings.
- Maintain CRM systems, travel management platforms, and expense tracking software.
- Leverage data analytics to optimize travel performance, cost efficiency, and client experience.

4. Crisis & Risk Management
- Learn to handle emergency travel scenarios, disruptions, and flight cancellations efficiently.
- Ensure compliance with global safety protocols, visa restrictions, and medical travel policies.
5. Customer Satisfaction & Loyalty Management
- Focus on retaining key clients by delivering personalized and high-quality travel services.
- Provide destination insights, luxury upgrades, and VIP concierge services for elite travelers.
6. Travel Technology & Digital Transformation
- Utilize AI-powered analytics and automated booking systems to enhance efficiency.

Preferred Qualifications:

- Bachelor’s degree in Travel & Tourism, Hospitality Management, Business Administration, or a related field.
2. Experience:
- 3-7 years in corporate travel coordination, VIP travel, or agency-based travel services.
3. Certifications:
- IATA, GBTA (Global Business Travel Association), or ASTA certification preferred.
4. Multilingual Proficiency:
- Fluency in English and additional languages (Spanish, French, Arabic, Mandarin, etc.) is a plus.
5. Familiarity with Luxury Travel Services:
- Experience handling exclusive travel packages, private jet charters, and premium concierge services.
