Roles & Responsibilities

The Mid-Level Shutdown/Turnaround Supervisor – HVAC is responsible for supervising the end-to-end mechanical execution of HVAC shutdown scopes including inspection, repair, overhaul, and recommissioning. The role demands leadership in fast-paced environments, ensuring workforce coordination, safety compliance, and timely delivery of planned activities during short windows of downtime. The supervisor acts as the key interface between the field crew, planning team, and engineers during critical maintenance periods.


Key Responsibilities:

Pre-Shutdown Activities:

  • Review detailed job plans, HVAC shutdown scope of work, manpower allocation, and resource lists.

  • Participate in pre-shutdown meetings, site walkthroughs, and risk assessments.

  • Coordinate material availability (filters, belts, bearings, motors, coils, refrigerants, gaskets, etc.) and tool readiness.

  • Verify that shutdown packages, safety permits, and isolation plans (LOTO) are complete.

Execution Phase:

  • Supervise HVAC mechanical works including:

    • Dismantling and servicing AHUs, FCUs, chillers, VRF/VRV units, exhaust systems.

    • Cleaning ducting and coils, replacing filters, inspecting belts, dampers, pulleys.

    • Overhauling motors, compressors, control dampers, actuators, and drain systems.

    • Performing leak checks, pressure testing, vacuuming, and refrigerant recharge.

  • Ensure all safety procedures are followed including permit systems, confined space entry, elevated work protocols, and PPE compliance.

  • Lead daily toolbox talks, hazard identification, and incident reporting as needed.

  • Coordinate with electricians, controls (BMS) technicians, and civil access teams for integrated job execution.

  • Maintain clear documentation of work progress, delays, punch points, and issue escalations.

Post-Shutdown Phase:

  • Supervise reassembly and recommissioning checks including airflow testing, sensor calibration, and system startup validation.

  • Ensure test reports, inspection logs, and handover documents are signed off.

  • Close out permits and participate in post-shutdown review and reporting meetings.


Key Focus Areas:

  • Work Execution Management: Ensure safe, efficient execution of HVAC shutdown jobs within approved windows.

  • Workforce Coordination: Manage technicians, subcontractors, and vendor teams performing HVAC work.

  • Safety & Compliance: Enforce LOTO procedures, hazard mitigation plans, and audit readiness.

  • Technical Oversight: Understand mechanical specifications, tolerances, and OEM service guidelines for HVAC systems.

  • Real-Time Reporting: Maintain accurate status updates, manpower records, and delay justifications.


Skills & Qualifications:

  • Diploma / Degree in Mechanical or HVAC Engineering.

  • 4–8 years of HVAC maintenance experience, with a minimum of 2 years in turnaround/shutdown projects.

  • Strong understanding of HVAC mechanical systems: AHUs, chillers, VRFs, ducting, valves, dampers, and controls.

  • Capable of reading P&IDs, HVAC layouts, and mechanical schematic diagrams.

  • Familiarity with tools like anemometers, vacuum pumps, leak detectors, multimeters, and pressure gauges.

  • Hands-on experience with safety protocols and shutdown documentation requirements.


Preferred Sector Experience:

  • Oil & Gas facilities (refineries, terminals)

  • Power plants (GT/ST, utility HVAC)

  • Petrochemical or FMCG factories

  • Data centers, pharma cleanrooms, or airports (for large-scale HVAC scope)


Tools & Documentation:

  • Tools: Refrigerant recovery kits, coil cleaning systems, portable ladders, alignment tools.

  • Documentation: Work Permits, Job Safety Analysis (JSA), Method Statements, Progress Trackers, Punch Lists.


Working Conditions:

  • Typically includes 10–12 hour shifts during shutdown windows.

  • On-site role in hot, noisy, or confined environments.

  • May involve night shifts, weekend work, and emergency availability.
