Job Title: Luxury Tourism Planners

Job Summary

We are seeking a highly skilled and detail-oriented Luxury Tourism Planning Manager to oversee the design, coordination, and execution of premium travel itineraries for our esteemed clientele. This role requires a deep understanding of luxury travel trends, high-net-worth client expectations, and a strong network of exclusive suppliers, hotels, and experiences worldwide.

Key Responsibilities:

1. Luxury Travel Planning & Itinerary Design

  • Develop and customize high-end, tailor-made travel itineraries for affluent clients, ensuring exclusivity and seamless experiences.
  • Conduct in-depth consultations with clients to understand their preferences, expectations, and luxury travel needs.
  • Research, recommend, and secure exclusive travel accommodations, private tours, and VIP experiences.

2. Client & Stakeholder Management

  • Maintain strong relationships with high-profile clients, ensuring personalized service and satisfaction.
  • Collaborate with luxury hotels, private jet charters, yacht companies, and premium travel service providers.
  • Manage negotiations and contracts with vendors, ensuring the highest level of service and exclusivity.

3. Operations & Logistics

  • Oversee the execution of all travel plans, ensuring flawless coordination and attention to detail.
  • Monitor travel arrangements, handle last-minute changes, and provide 24/7 support for high-profile clients when needed.
  • Ensure compliance with all luxury travel regulations, visas, and safety protocols.

4. Marketing & Business Development

  • Stay up-to-date with global luxury travel trends, emerging destinations, and VIP experiences.
  • Assist in the development of high-end travel packages, partnerships, and promotional strategies.
  • Represent the company at luxury travel expos, trade shows, and networking events to establish industry connections.

Key Focus areas: 

1. Bespoke Itinerary Design & Customization

  • Crafting high-end, tailor-made travel experiences for affluent travelers.
  • Researching and curating unique, exclusive, and private travel experiences that cater to luxury clients.
  • Balancing personalization with logistical feasibility to ensure smooth and seamless execution.
  • Coordinating high-end services such as private jets, luxury yachts, five-star accommodations, and VIP event access.
2. Client Relationship Management
  • Engaging directly with affluent clients, high-net-worth individuals (HNWIs), and corporate accounts to understand their travel preferences.
  • Providing a high-touch, concierge-style service, ensuring every client feels valued and taken care of.
  • Handling client communications before, during, and after the trip to guarantee a flawless experience.
  • Managing feedback and follow-ups to improve long-term client retention and satisfaction.
3. Supplier & Vendor Coordination
  • Building relationships with luxury hotels, premium airlines, private transport providers, and exclusive experience vendors.
  • Negotiating preferential rates, VIP access, and added-value services to enhance client experiences.
  • Ensuring all suppliers meet the highest standards of service, exclusivity, and quality.
4. Operational & Logistics Management
  • Overseeing all bookings, confirmations, and travel logistics to ensure a hassle-free experience.
  • Managing real-time adjustments, last-minute changes, and on-the-ground problem-solving.
  • Coordinating with internal and external teams to ensure flawless execution of travel plans.
  • Ensuring all travel documents (visas, permits, insurance) are in order for international travel.
5. Market Research & Luxury Travel Trends
  • Staying updated on emerging luxury travel trends, new destinations, and exclusive experiences.
  • Researching and identifying unique, high-demand experiences that align with client expectations.
  • Understanding the preferences of different high-net-worth demographics (e.g., corporate travelers, celebrities, honeymooners, adventure seekers).
6. Technology & Digital Integration
  • Using CRM and travel planning software to manage client preferences and booking history.
  • Leveraging data analytics to personalize recommendations and improve customer experience.
  • Implementing digital concierge solutions for real-time travel updates and client support.
7. Business Development & Sales Support
  • Assisting in lead generation, client outreach, and proposal development for high-end travel packages.
  • Collaborating with sales and marketing teams to promote luxury travel services through digital and offline channels.
  • Attending luxury travel trade shows, networking events, and industry conferences to build connections and expand market reach.
8. Risk Management & Crisis Handling
  • Handling unforeseen circumstances such as flight cancellations, itinerary disruptions, or emergency situations.
  • Coordinating with insurance providers and crisis response teams for client safety.
  • Ensuring all travel plans adhere to legal, safety, and ethical standards in luxury tourism.
9. Brand Representation & Client Experience Enhancement
  • Acting as an ambassador for the brand, ensuring all interactions reflect luxury, professionalism, and exclusivity.
  • Continuously seeking ways to enhance the client journey, from pre-trip consultations to post-trip follow-ups.
  • Implementing client feedback to refine and improve service quality.
10. Team Collaboration & Development
  • Working closely with senior planners, concierge teams, and operations staff to streamline processes.
  • Sharing industry insights and knowledge to enhance team expertise and service standards.
  • Assisting in training junior staff on luxury service expectations and best practices.

Required Skills & Qualifications:

  • Bachelor’s degree in Tourism, Hospitality, Business, or a related field.
  • 5-7 years of experience in luxury travel planning, high-end tourism, or hospitality management.
  • Strong network of luxury travel suppliers, hotels, and exclusive service providers.
  • Excellent organizational and multitasking abilities with keen attention to detail.
  • Outstanding interpersonal and communication skills, with the ability to manage VIP clients.
  • Proficiency in travel booking software, CRM systems, and Microsoft Office Suite.
  • Fluency in English is required; additional languages are an advantage.

Preferred Qualifications:

  • Certification in Luxury Travel Planning (e.g., Virtuoso, Forbes Travel Guide).
  • Experience working with UHNWI (Ultra High Net Worth Individuals) and celebrities.
  • Background in event planning, concierge services, or bespoke experiences.
