Job Title: Luxury Tourism Planners

Job Summary: 

We are looking for a Fresher-Level Event Organizer to assist in planning, coordinating, and executing events. This role is ideal for recent graduates or individuals with a passion for event management, hospitality, and logistics coordination.

As an Event Organizer, you will work closely with senior planners to execute corporate events, weddings, conferences, exhibitions, and social gatherings while learning the fundamentals of event planning, logistics, vendor management, and client relations.


Key Responsibilities

1. Event Planning & Coordination

  • Assist in planning and organizing corporate events, weddings, trade shows, and private parties.
  • Support in creating event proposals, timelines, and detailed schedules.
  • Coordinate with internal teams to ensure smooth execution of planned activities.

2. Vendor & Venue Management

  • Assist in researching and selecting venues, vendors, caterers, and entertainers.
  • Communicate with suppliers, decorators, caterers, and technical teams.
  • Assist in preparing vendor contracts, comparing quotes, and managing bookings.

3. Budgeting & Cost Control

  • Help with event budgeting, tracking expenses, and financial reporting.
  • Support cost negotiations with vendors and service providers.
  • Ensure that all event-related purchases and contracts stay within budget.

4. Logistics & Operations Management

  • Coordinate event setup, equipment rentals, and on-site logistics.
  • Assist in arranging transportation, accommodation, and guest management.
  • Ensure smooth check-in, registration, and seating arrangements for attendees.

5. Marketing & Promotion Support

  • Assist in social media promotions, event branding, and public relations campaigns.
  • Help in designing invitations, flyers, posters, and event banners.
  • Support digital marketing initiatives such as email campaigns and influencer partnerships.

6. Client Interaction & Customer Service

  • Assist in client meetings, presentations, and event proposals.
  • Understand and implement client requests to meet their expectations and event goals.
  • Provide on-site support to handle guest inquiries and concerns.

7. Creativity & Innovation

  • Help brainstorm and execute unique themes, decor styles, and entertainment ideas.
  • Stay updated with trending event concepts, designs, and interactive experiences.

8. Risk Management & Problem-Solving

  • Identify potential event risks and support contingency planning.
  • Help resolve last-minute challenges like scheduling conflicts or vendor issues.

9. Post-Event Evaluation & Reporting

  • Collect and analyze event feedback from clients and attendees.
  • Assist in preparing post-event reports and performance metrics.
  • Support in follow-up communications with vendors and clients.

Qualifications & Skills

1. Educational Background

  • Bachelor’s degree or diploma in Event Management, Hospitality, Marketing, Business, or a related field (Preferred but not mandatory).
  • Certifications in Event Planning, Public Relations, or Digital Marketing are a plus.

2. Work Experience

  • 0-1 year of experience in event planning, hospitality, or marketing.
  • Internship experience in an event agency, corporate events, or hospitality industry is a plus.

3. Key Competencies & Skills

  • Strong organizational and time-management skills.
  • Ability to multitask and handle multiple event projects.
  • Good verbal and written communication skills.
  • Creativity and attention to detail.
  • Proactive and able to work under pressure and meet deadlines.
  • Willingness to work evenings, weekends, and travel when required.

4. Technical & Digital Proficiency

  • Basic knowledge of event management software, CRM tools, or ticketing platforms.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) or Google Suite.
  • Familiarity with social media marketing, graphic design tools (Canva, Photoshop), or event promotion strategies is a plus.

Key Focus areas: 

1. Travel Itinerary Research & Development

  • Assisting senior planners in designing customized, high-end travel itineraries.
  • Researching luxury hotels, resorts, private villas, and exclusive experiences.
  • Helping compile detailed travel plans that align with client preferences.
2. Client Support & Communication
  • Handling client inquiries and travel-related requests.
  • Supporting in pre-trip preparations, ensuring clients receive necessary documentation and confirmations.
  • Assisting in post-trip follow-ups and gathering client feedback.
3. Vendor & Supplier Coordination
  • Assisting in coordinating with luxury hotels, premium airlines, and private tour operators.
  • Helping manage reservations, confirmations, and special requests.
  • Ensuring smooth communication between vendors and internal teams.
4. Administrative & Logistical Support
  • Maintaining client records, booking details, and itinerary management systems.
  • Supporting in handling last-minute changes, cancellations, or modifications.
  • Ensuring all travel documents (visas, insurance, etc.) are properly organized.
5. Market Research & Luxury Travel Trends
  • Staying updated on exclusive destinations, VIP experiences, and emerging luxury travel trends.
  • Researching high-end properties, unique adventure experiences, and premium hospitality offerings.
  • Assisting in identifying new luxury travel opportunities to expand the company’s offerings.
6. Digital & CRM Support
  • Learning and using travel booking software and CRM systems for client management.
  • Assisting with social media and marketing efforts to promote luxury travel experiences.
  • Supporting digital teams with content creation related to high-end tourism.
7. Event & Experience Coordination
  • Assisting in planning and coordinating private luxury events, retreats, and corporate incentive trips.
  • Helping manage VIP guest arrangements and concierge services.
8. Learning & Development in Luxury Tourism
  • Gaining hands-on experience in luxury travel planning, itinerary customization, and vendor negotiation.
  • Developing expertise in client relationship management and high-end hospitality services.
  • Attending industry training sessions, workshops, and networking events to enhance skills.
9. Customer Service & Problem-Solving
  • Assisting in handling last-minute itinerary changes or travel disruptions.
  • Supporting senior planners in resolving client concerns and special requests.
  • Learning to anticipate client needs and provide a seamless experience.
10. Brand Representation & Professional Growth
  • Representing the company in a professional and service-oriented manner.
  • Building relationships with clients, suppliers, and industry professionals.
  • Demonstrating a passion for luxury travel and high-end service excellence.

Qualifications:

1. Education:

  • Bachelor’s degree in Tourism, Hospitality, Business, Luxury Management, or a related field.
  • Recent graduates with a passion for luxury travel and high-end service are encouraged to apply.

  • Strong communication skills (verbal & written) in English (additional languages are a plus).
