The HVAC Project Manager is responsible for managing all phases of HVAC project execution from concept to commissioning. This includes scope definition, design review, procurement, resource planning, installation supervision, stakeholder coordination, and final handover. The role ensures technical excellence, schedule adherence, budget control, and full compliance with safety and quality standards.
Define HVAC scope of work in collaboration with clients, consultants, and internal stakeholders
Develop project execution plans (PEP), work breakdown structures (WBS), and milestone charts
Lead project kickoff meetings, risk assessments, and design workshops
Oversee HVAC design deliverables including load calculations, duct/piping layouts, and equipment selections
Validate designs for compliance with ASHRAE/NBC standards, energy codes, and project specifications
Coordinate with architects, structural, electrical, and plumbing teams for integrated MEP design
Prepare and review technical specifications for procurement of HVAC equipment (chillers, AHUs, VRFs, pumps, ducts, etc.)
Evaluate vendor submittals and ensure alignment with project design and performance criteria
Monitor procurement schedules and ensure timely delivery to meet site execution needs
Supervise HVAC installation activities through site engineers and supervisors
Ensure installation complies with approved drawings, codes, and quality standards (SMACNA, NFPA)
Review daily site reports, resolve technical issues, and enforce safety practices on site
Plan and lead HVAC system testing, air/water balancing, and integrated system commissioning
Coordinate with BMS teams for controls integration and sequence validation
Compile as-built drawings, O&M manuals, and handover documentation for client submission
Monitor progress against project baseline using KPIs (cost, time, scope, quality)
Prepare progress reports, dashboard summaries, and client updates
Manage project change orders, variation claims, and technical clarifications
Track project budgets, approve expenses, and control cost overruns
Support procurement with value engineering and vendor negotiations
Maintain accurate cost forecasts and billing schedules for invoicing
Serve as the primary point of contact for clients and consultants during project lifecycle
Conduct review meetings, respond to RFIs, and resolve client concerns proactively
Ensure client satisfaction, project transparency, and positive handover experience
