Responsible for overseeing the day-to-day operations of facility and maintenance services, including the management of maintenance contractors, troubleshooting, repair work, and ensuring the smooth running of building systems for residential and commercial properties. The role involves managing the overall facility maintenance operations, ensuring compliance with safety standards, maintaining documentation, and optimizing operational efficiency.
Facility Management:
Oversee the maintenance and repair of facility systems, including HVAC, plumbing, electrical, elevators, fire safety, and general building infrastructure.
Monitor and manage day-to-day operations for facility services, ensuring all equipment is operating optimally.
Create and manage preventive maintenance schedules and ensure that equipment is serviced in accordance with manufacturer specifications.
Develop and implement maintenance strategies to improve the efficiency, lifespan, and functionality of building systems.
Team and Contractor Management:
Supervise a team of technicians, vendors, and subcontractors, ensuring adherence to operational standards and quality.
Source, recruit, and manage independent maintenance contractors across various trades, ensuring they meet required standards for each job.
Handle performance reviews, resolve issues, and ensure contractors follow safety protocols and client-specific procedures.
Budgeting & Cost Management:
Oversee and manage the maintenance budget, ensuring cost-effective solutions for repairs and projects.
Review quotations, bids, and contracts from contractors, suppliers, and service providers.
Monitor and control expenses, ensuring maintenance and repair projects are completed within budget.
Health, Safety & Compliance:
Ensure that all work complies with local building regulations, safety standards, and environmental policies.
Conduct regular facility audits and inspections to ensure compliance with health and safety regulations.
Implement corrective measures where required, including the development of risk management plans and emergency protocols.
Client and Stakeholder Interaction:
Act as the point of contact for all facility-related issues and escalations from tenants, staff, and stakeholders.
Provide regular reports on maintenance schedules, emergency repairs, and ongoing issues to management and clients.
Advise on improvements and upgrades for facility systems to enhance energy efficiency, comfort, and compliance with regulations.
Documentation and Reporting:
Maintain detailed records of repairs, maintenance activities, and contractor performance.
Produce and review facility maintenance reports, work orders, and health and safety logs.
Ensure all maintenance tasks and repairs are documented in CRM, and that work orders are completed within agreed timelines.
5+ years of experience in facility management or maintenance, with strong experience managing multi-trade teams.
Proven track record of managing facility services and maintenance operations for residential and commercial properties.
In-depth knowledge of building systems, including HVAC, plumbing, electrical, fire safety systems, and general infrastructure.
Strong leadership and team management skills, with the ability to oversee contractors and internal teams.
Strong problem-solving and decision-making skills, with the ability to handle emergencies and urgent repairs.
Excellent communication skills to liaise with clients, vendors, and internal teams.
Basic understanding of budgeting, cost management, and supplier/vendor negotiations.
Knowledge of local building codes, health, and safety regulations.
Ability to use maintenance management software (CRM, CMMS).
Bachelor’s degree or diploma in Facility Management, Mechanical Engineering, Electrical Engineering, Building Services, or a related field.
Relevant certifications such as Facilities Management Professional (FMP), LEED, or OSHA safety certifications are an advantage.
HSE/First Aid certifications are preferred.
