Job Summary:
We are looking for a proactive and detail-oriented Event Planner (Mid-Level) to coordinate and execute events within the hospitality and tourism industry. In this role, you will be responsible for planning and delivering a range of events, from corporate meetings to tourism experiences. The ideal candidate has a strong foundation in event logistics, vendor coordination, and client communication, and is ready to manage events from planning through execution with minimal supervision.
Event Coordination:
Plan and organize events including meetings, conferences, social gatherings, and tourism-focused experiences.
Develop event timelines, budgets, and checklists to ensure smooth execution.
Vendor & Venue Management:
Liaise with venues, caterers, decorators, and other service providers to coordinate event logistics.
Negotiate pricing and services while ensuring timely delivery and quality standards.
Client Interaction:
Work directly with clients to understand event requirements, provide recommendations, and maintain regular updates throughout the planning process.
Ensure expectations are met and exceeded.
On-Site Event Execution:
Manage on-site logistics including setup, guest assistance, vendor coordination, and real-time problem solving.
Ensure events run smoothly and professionally from start to finish.
Budget Tracking:
Assist in managing event budgets by tracking costs, handling invoices, and ensuring financial efficiency.
Support post-event reconciliation and reporting.
Post-Event Reporting:
Collect feedback from clients and attendees, and support reporting and evaluation of event success.
Identify areas for improvement and suggest enhancements for future events.
Bachelor’s degree in Hospitality, Tourism, Event Management, or a related field
2–4 years of experience in event planning or coordination
Strong understanding of event logistics and vendor relationships
Familiarity with budgeting and project timelines
Strong organizational and multitasking skills
Excellent verbal and written communication
Customer-focused with problem-solving abilities
Ability to work both independently and as part of a team
Comfortable working flexible hours, including evenings or weekends when needed
Proficient in event planning tools, Microsoft Office, or project management software
