Accounting Representative Job Description


Job Summary:

The Accounting Representative is responsible for supporting the accounting department by assisting with various accounting functions such as processing transactions, maintaining accurate records, and supporting financial reporting. This role involves working closely with other teams to ensure financial data is accurately recorded and maintained in compliance with accounting standards and company policies.


Key Responsibilities:

  • Transaction Processing:

    • Process accounts payable and receivable transactions, ensuring accurate data entry into the accounting system.
    • Ensure proper coding and classification of expenses and revenues in line with accounting policies.
  • Data Entry and Record Keeping:

    • Maintain accurate and up-to-date accounting records, including invoices, receipts, and statements.
    • Prepare and organize supporting documentation for financial transactions, audits, and reports.
  • Account Reconciliation:

    • Assist with reconciling bank statements, vendor accounts, and customer accounts to ensure accuracy.
    • Investigate and resolve discrepancies by reviewing transaction history and working with other departments or vendors.
  • Reporting and Analysis:

    • Assist with preparing financial reports, including monthly summaries of accounts payable and receivable.
    • Provide necessary financial data to the accounting team for month-end and year-end close processes.
  • Customer and Vendor Support:

    • Respond to inquiries from customers and vendors regarding payments, invoices, and account balances.
    • Coordinate with vendors to resolve billing issues and ensure timely payments.
  • Compliance and Record Maintenance:

    • Ensure compliance with company policies, accounting standards, and applicable regulations.
    • Maintain confidentiality of financial information and company data.

Qualifications:

  • Education:

    • Bachelor’s degree in Accounting, Finance, or a related field (preferred).
    • Associate’s degree or relevant certification in accounting (e.g., AAT) is also acceptable.
  • Experience:

    • 1–3 years of experience in accounting, bookkeeping, or a related role.
    • Experience with accounting software such as Xero, Zoho Books, QuickBooks, Sage, or Microsoft Dynamics is preferred.
  • Skills:

    • Strong attention to detail and accuracy in data entry and financial record keeping.
    • Good understanding of basic accounting principles and practices.
    • Proficiency in Microsoft Office, particularly Excel.
    • Strong communication skills for interacting with internal teams and external clients.
